These terms explain how tutoring and consulting engagements with Dr. Caleb Marshall are arranged. They are intended to establish clear expectations while leaving room for thoughtful, reasonable communication when circumstances change.
01 Beginning an engagement
Submitting an inquiry does not create an obligation for either party.
An engagement begins only after we have confirmed the service, fee, schedule, and any relevant preparation in writing. For consulting engagements, the written confirmation may also describe specific objectives, materials, or deliverables.
A proposed booking may be declined before confirmation if scheduling needs cannot be accommodated, the requested service falls outside the stated scope of practice, academic-integrity requirements cannot be satisfied, or the engagement is not a suitable professional fit. Once a booking is confirmed, it will be honoured except as expressly provided by these terms.
02 Rates and session length
Tutoring rates shown on the website apply to 60-minute online sessions. Ninety-minute sessions are billed at the same hourly rate.
Consulting services are individually scoped and quoted before the engagement begins. The fee may account for meetings, advance review, written feedback, research, or follow-up work. All fees are discussed and agreed upon before any services are rendered, and the full balance of fees must always be paid before any services are provided by Dr. Marshall.
The applicable currency—CAD or USD—will be confirmed before payment. Any applicable taxes or additional charges will be disclosed through written correspondence in advance of payment and clearly shown on the invoice. Clients are responsible for currency-conversion or transaction fees imposed by their own bank or payment provider.
03 Payment
One-time sessions and consulting engagements must be paid by the due date shown on the invoice or written booking confirmation. The due date will occur before any session, preparation, or other service begins.
Recurring tutoring students are normally invoiced monthly, with payment due before the first session covered by each monthly invoice.
A booking may be released if payment is not received by the stated deadline.
04 Recurring appointments and additional sessions
Recurring students may be offered a fixed, ongoing tutoring time. During an active paid month, that time is reserved for the student and will not be offered to another client.
The student has the first right to continue in that time for the following month, provided the next month is confirmed and paid by the stated invoice deadline. If the student declines the time or payment is not received by the deadline, the appointment may be released.
Existing students may request additional sessions directly. Additional sessions are subject to availability, advance payment, and written confirmation. An additional session does not change or replace the student's regular reserved time unless confirmed in writing.
05 Rescheduling and cancellation
Please provide at least 24 hours' notice when cancelling or rescheduling a session.
With at least 24 hours' notice, the session may be rescheduled subject to availability or credited toward a future session. Client-cancelled prepaid sessions are credit-only and are not eligible for a cash refund except where required by law.
Cancellations made with less than 24 hours' notice and missed sessions are normally charged in full because that time has been reserved and usually cannot be offered to another client. Genuine emergencies will be considered reasonably and individually.
For consulting work that includes advance preparation, any preparation already completed remains payable even if the associated meeting is cancelled.
Cancellation or rescheduling requests should be sent to hello@drcalebmathmentor.ca. The time the message is received will determine whether the notice period has been met.
If I need to cancel, the client may choose between rescheduling, receiving a credit, or receiving a refund for the affected session.
06 Late arrival
Sessions begin and end at the confirmed times. A client who arrives late may use the remainder of the scheduled session, but the session will ordinarily still end at the original time.
If a client has not joined within 15 minutes and has not made contact, the appointment may be treated as a missed session.
If I am delayed, the client will receive the full amount of time booked or an appropriate prorated credit, which will appear on their next invoice statement.
07 Technical difficulties
Both parties are responsible for having a suitable internet connection, device, and working audio or video setup.
If a problem with the tutoring platform or my equipment materially interrupts a session, the lost time will be made up, credited, or rescheduled.
If a client-side technical problem prevents attendance, the usual cancellation policy applies. I will nevertheless make a reasonable effort to accommodate isolated and unavoidable technical problems.
08 Credits and unused sessions
Completed sessions, missed sessions, and late cancellations are not eligible for a refund or credit except where required by law or expressly provided by these terms.
When the applicable cancellation requirements have been met, an unused prepaid session will remain available as a non-transferable credit toward a future service. The credit expires 90 days after the date of the originally scheduled session. Client-requested cancellations do not create an entitlement to a cash refund.
Any session already completed or treated as a late cancellation will be deducted at the amount paid for that session.
If I cancel a session or end an engagement in circumstances that prevent a client from using their remaining credit, the unused balance may be refunded. Nothing in this section limits a refund required by law.
09 Tutoring scope and academic integrity
Tutoring is collaborative educational support and is intended to function as a one-to-one and personalized mentorship opportunity for clients. I may explain concepts, diagnose errors, provide examples, ask guiding questions, and help a student develop their own reasoning and written work.
I do not:
- Complete assignments or proofs for submission under a student's name
- Provide answers during an active examination or assessment
- Impersonate a student or access a course account on their behalf
- Complete work that an institution expects the student to perform independently
- Help conceal plagiarism, unauthorized collaboration, or AI use prohibited by an institution's policies, a course syllabus, assessment instructions, or the direction of an authorized representative of the student's school or university
Students remain responsible for understanding and following the academic-integrity rules of their school, university, course, or examination.
I may decline or end work that would violate these boundaries. Fees remain payable for time and preparation already provided. If an engagement is ended, any remedy for unused future services will be determined under Section 8. A different remedy will be used only when the client's preferred remedy cannot reasonably be provided, would conflict with these terms, or is not required by applicable law; the reason will be provided in writing.
10 Consulting scope and outcomes
Consulting provides individualized education, strategy, and feedback. It does not constitute legal, financial, medical, psychological, or immigration advice.
Admissions and career consulting cannot guarantee admission, funding, employment, publication, promotion, or any other outcome. Clients remain responsible for their decisions, submissions, deadlines, and the accuracy of the information they provide.
Admissions materials will remain the client's own work. I may help strengthen their thinking, organization, and expression, but I do not ghostwrite applications or fabricate experiences.
AI-related consulting emphasizes responsible use. Clients are responsible for complying with institutional, professional, research-ethics, confidentiality, data-protection, and intellectual-property requirements applicable to their work.
11 Clients below the age of majority
When a student is below the age of majority where they live, a parent or legal guardian must formally authorize the engagement in writing and act as the contracting party.
Written authorization must be received before the first session and must confirm that the parent or guardian:
- Consents to the tutoring or consulting engagement
- Accepts these terms
- Assumes responsibility for payment
- Provides current contact information
- Authorizes reasonable direct communication between Dr. Marshall and the student for educational and scheduling purposes
Authorization may be provided through a designated consent form or another written method accepted by Dr. Marshall.
The parent or guardian is responsible for payment and should provide appropriate contact information. I may communicate directly with the student about lessons, coursework, scheduling, and educational materials as reasonably required for tutoring.
Online tutoring is an educational service and is not a substitute for childcare or supervision.
12 Respectful working relationship
Tutoring and consulting depend on professional, respectful communication. Harassment, discrimination, threats, abusive conduct, or repeated disregard for agreed boundaries may result in the engagement being ended.
If an engagement is ended, completed work and incurred preparation remain payable. Any unused prepaid services will ordinarily be refunded.
13 Materials and recording
Materials I create or provide remain my intellectual property unless we agree otherwise. Clients may use them for their own personal educational purposes but may not publish, sell, distribute, or use them commercially without permission.
Clients retain ownership of their original work.
Sessions may not be recorded, transcribed, or reproduced without the prior knowledge and written consent of everyone involved.
14 Changes to bookings or terms
Any material change to an agreed service, fee, or schedule will be confirmed in writing.
These terms will not be changed retroactively for an engagement that has already been confirmed. The version supplied or available when the booking was accepted will apply unless both parties agree otherwise.
15 Questions and concerns

Nothing in these terms limits any consumer right that cannot lawfully be waived.
