This policy explains how I collect, use, disclose, protect, and retain personal information in connection with this website and my tutoring and consulting services.

01 Who is responsible for your information

Dr. Caleb Marshall is responsible for the personal information collected through this website and in the course of tutoring or consulting engagements.

I operate from Alberta, Canada, and act as the privacy contact for this practice. Privacy questions or requests may be sent to hello@drcalebmathmentor.ca.

02 Information I collect

I collect only information reasonably needed to assess an inquiry, arrange and provide services, communicate with clients, and meet business or legal obligations. Depending on how we work together, this may include:

  • Inquiry information: your name, email address, student level or requested service, course or topic, goals, general availability, time zone, how you heard about the practice, and any information you choose to include in your message
  • Client and guardian information: contact details, written guardian authorization, scheduling preferences, service history, and records of policy acceptance
  • Educational or consulting information: relevant coursework, goals, lesson notes, documents, application materials, research materials, and feedback exchanged during the engagement
  • Billing information: invoice details, amounts, currency, payment status, credits, and transaction records; payment-card details are handled by the payment provider and are not stored on this website
  • Technical and campaign information: the website and its infrastructure providers may process IP addresses, browser or device information, request timestamps, security or diagnostic logs, referring website domain, and campaign labels included in a link, such as source, medium, or campaign name

Please do not send highly sensitive personal information, third-party confidential information, or unpublished materials unless they are reasonably necessary and you are authorized to share them.

03 How information is collected

Information may be collected when you submit the website inquiry form, email me, arrange or attend a session, provide documents or educational materials, accept policies, book an appointment, pay an invoice, or otherwise communicate with me.

Some technical information may be collected automatically by the website's hosting and security infrastructure when you visit or interact with the site. When you submit an inquiry, limited campaign labels from the link you used and the referring website's domain may be recorded with the inquiry so I can understand which outreach sources are useful.

04 Why I use personal information

Personal information may be used to:

  • Respond to inquiries and determine whether a requested service is a suitable fit
  • Understand which referral, community, and advertising sources produce genuine inquiries
  • Arrange, provide, personalize, and document tutoring or consulting services
  • Communicate about schedules, preparation, cancellations, educational materials, and follow-up
  • Create invoices, record payments and credits, and maintain required business and tax records
  • Confirm guardian authorization and communicate appropriately when a client is a minor
  • Maintain academic integrity, service security, and professional boundaries
  • Resolve concerns, enforce agreements, and comply with legal obligations

I will not use personal information for a materially different purpose without consent or another lawful basis.

05 Consent and your choices

By voluntarily submitting an inquiry or requesting a service, you consent to the reasonable collection, use, and disclosure of information needed for the purposes explained at the time and in this policy.

You may ask questions, decline to provide optional information, or withdraw consent for future uses by contacting me. Withdrawing consent may limit my ability to respond to an inquiry or continue an engagement. It does not affect information already used lawfully or records that must be retained for legal, accounting, dispute-resolution, or security purposes.

06 Clients below the age of majority

When a student is below the age of majority where they live, a parent or legal guardian must formally authorize the engagement in writing and act as the contracting party.

The parent or guardian should provide or authorize the personal information reasonably required for the engagement and will ordinarily be the primary contact for contracts, privacy requests, and payments. I may communicate directly with the student about lessons, coursework, educational materials, and scheduling to the extent authorized and reasonably necessary.

I do not knowingly invite a minor to submit payment-card information through this website.

07 Service providers and processing outside Alberta

I use service providers to operate the website, deliver email, maintain records, arrange appointments, and process payments. These may include the website's hosting and infrastructure providers, Google Workspace and Google Apps Script, and any appointment or payment provider identified when that service is introduced. If you allow optional ad measurement, Google Ads also processes the technical and conversion information described below under Google's applicable terms and privacy policies.

Providers receive only the information reasonably required to perform their functions and may not use it for unrelated purposes under the applicable service arrangements.

Some providers may process or store information outside Alberta or Canada. Information in another jurisdiction may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement, or national-security authorities in accordance with those laws. I remain responsible for selecting providers and using reasonable safeguards appropriate to the information involved.

08 When information may be disclosed

I do not sell or rent personal information.

Information may be disclosed:

  • To service providers acting on my behalf for the purposes described above
  • With your direction or consent
  • When reasonably necessary to collect an unpaid account, respond to a dispute, protect safety or security, or obtain professional advice
  • When required or permitted by applicable law

Information will not be shared with a student's school, university, employer, or another third party merely because that organization is connected to the client, unless the client or guardian authorizes it or the law requires or permits it.

09 Retention and deletion

Information is kept only as long as reasonably required for the purposes described in this policy and for legitimate business or legal needs.

  • Unconverted inquiry records are reviewed periodically and are ordinarily deleted or anonymized within 12 months after the last substantive communication.
  • Educational, scheduling, and service records are ordinarily retained for the engagement and up to two years afterward, unless a longer period is reasonably required for an unresolved concern, legal claim, safeguarding matter, or continuing engagement.
  • Agreements, invoices, payment records, and supporting business or tax records are ordinarily kept for at least six years after the end of the tax year to which they relate, or longer when required by law.

When information is no longer required, it will be securely deleted, destroyed, or anonymized. Some residual copies may remain temporarily in secure backups or provider systems until their ordinary deletion cycles are complete.

10 Safeguards and privacy incidents

I use reasonable administrative and technical safeguards appropriate to the sensitivity of the information, including access restrictions, account security, reputable service providers, and limiting collection and disclosure.

No internet or storage system is completely secure. If a privacy incident creates a real risk of significant harm, I will take reasonable steps to contain and investigate it and will provide any notifications required by applicable law.

11 Access, correction, and deletion requests

You may ask whether I hold personal information about you and request access to or correction of that information. You may also request deletion of information that is no longer reasonably required, subject to legal, accounting, dispute-resolution, security, and backup-retention requirements.

Send a written request to hello@drcalebmathmentor.ca. I may need to verify your identity before responding. If access cannot be provided in whole or in part, I will explain the reason where required or appropriate.

12 Cookies, analytics, and external links

Google Ads measurement is optional and is not loaded until you choose “Allow measurement (18+)”. It helps me understand whether an advertisement leads to a successfully submitted inquiry. Declining does not affect your ability to use the website or request tutoring. Visitors under 18 should decline. A browser Global Privacy Control signal keeps this measurement off.

If you agree, Google may receive technical information such as your IP address, browser or device information, advertising click identifiers, page information, and a conversion event after a successful inquiry. Cookies or similar browser storage may be used to connect that event with an ad interaction. The event includes a random receipt identifier to reduce duplicates and a nominal value of CA$1 for reporting; that value is not a payment or a charge to you.

The tracking event does not include your inquiry name, email, course, message, or other form answers. Enhanced conversions and personalized-advertising signals are disabled in this website's tag configuration. No Google Analytics service is configured as part of this measurement.

You can change your choice using “Ad measurement settings” at the bottom of any page. Your choice is stored in this browser for up to 180 days, or until you clear site storage. Withdrawing consent stops future inquiry conversion events and clears this site's accessible Google Ads cookies; it does not delete information Google has already received. Learn how Google uses information from sites using its services and read Google's Privacy Policy.

Separately, inquiry-source information may include the selection you provide, campaign labels contained in the link, the page where the inquiry was submitted, and the referring website's domain. This is recorded with the inquiry, not sent as form content to Google Ads. The website and its providers may still use essential technical mechanisms and logs needed for security, delivery, and reliable operation.

Links to external websites or services are governed by their own privacy policies. This includes the academic website and any future appointment or payment page.

13 Changes to this policy

This policy may be updated when services, providers, or legal requirements change. The revised version will be posted here with a new effective date. Material changes will not be applied retroactively where additional consent is required.
